If you’re a first-time hirer, you’ll need to complete our New Customer Application form. We may also require additional forms of identification, so please contact us for further details.

Payments are made by Bank Transfer. You can find the bank details at the bottom of your invoice.

We are unable to accept payment by cash, card or cheque.

Equipment is ready for collection from 10:00 on the hire start date, and it must be returned by 12:00 on the hire end date.

• A day hire is a 24‑hour period, with equipment collected at 10:00 and returned by 12:00.
• A week hire is a continuous period of up to 7 days and must not cover more than one weekend.

Late returns can disrupt our ability to prepare for the next hire and will incur additional charges. If you anticipate a delay, it’s important to notify us to help avoid extra fees.

Yes. Equipment can be collected directly from our warehouse or delivered almost anywhere. We operate a fleet that includes 3.5t long-wheel base vans, 7.5t trucks, 18t trucks, and larger vehicles. Please note that deliveries or collections outside our normal office hours (08:30–17:30, Monday to Friday) may incur additional charges. Contact us for a delivery and collection quotation.

Our office and warehouse are open from 08:30 to 17:30 Monday through Friday. We are typically closed on Bank Holidays and between Christmas and New Year.

Please ensure your driver or transport company has the JB number for the equipment, which you can find on your quotation or by contacting your project manager. The JB number will begin with “JB” followed by a 5‑digit number.

The hirer is responsible for all equipment for the duration of the hire. We strongly advise that the hirer obtains suitable insurance coverage to protect against any potential issues.

Value Added Tax, VAT, is applicable to all our work in the UK.  All our prices online and quoted exclude VAT. VAT is added at the applicable rate at the time of invoice.

If you are VAT registered as a business you will know all about being able to claim VAT back.  Some charities are also able to claim VAT back, but it is always paid first.

An ATA Carnet is an international customs document that allows you to temporarily export commercial samples, trade fair or exhibition goods, and professional equipment to countries participating in the ATA Carnet system. For full details on the requirements, please refer to HMRC’s guidance here.

If you need to take IPS equipment abroad for an event, we can provide you with the necessary equipment data (such as item name, quantity, unit weight, unit value, and country of origin) for your Carnet documentation. Please note that we do not complete the Carnet forms on your behalf.

Specific details such as serial numbers become available only when the job is dispatched. If you require these details earlier, we can allocate and prepare the kit in advance. However, please be aware that this extra preparation time will be added to the hire duration and incur additional charges.

We offer three types of Carnet reports:

• Pre-prep IPS Carnet Report: Issued once your hire is confirmed. Contains item name, quantity, unit weight, unit value, and country of origin but does not include flightcase or packaging details.
• Post-prep IPS Carnet Report: Issued once your hire is dispatched. This report includes all the above information plus serial numbers for each uniquely identified item and all flightcases or packaging items.
• Advance Post-prep IPS Carnet Report: Issued at a specified time upon request (subject to availability). This option may require an extended hire period and additional charges. It provides full details, including serial numbers and packaging information.
